Turn Access Barriers Into a Specific Accommodation Request

Describe what a process prevents you from doing, the support that would remove the barrier, and the setting’s deadline — then produce a clear request packet without turning your experience into a diagnosis.

What this replaces

anchors the letter in barrier → task → requested adjustment → confirmation date, rather than producing a generic “please accommodate me” note. The result is a small object you can inspect: it carries a count, a context row, and a next action instead of asking you to trust a paragraph.

Tool note. This workflow uses Microsoft Copilot (free). Microsoft’s official support page for free Copilot was checked on September 12, 2026. Runners-up were a legal letter generator (overstated rights) and a generic form filler (did not preserve the barrier-to-task relationship). Redact names, account numbers, and other identifying details before sending anything to an external AI tool.

The handoff

1. Describe the task

Write what you need to do, what blocks access, what change would help, and when you need an answer. Redact clinical details that the recipient does not need.

2. Request bounded JSON

Ask Copilot for barrier, impact_on_task, requested_support, supporting_detail, recipient_question, and follow_up_date. Tell it not to name a condition or promise an entitlement.

3. Review with the right person

Adapt the draft to the organization’s process and keep a copy of what you sent. Ask a qualified disability-services, HR, or accessibility contact when the process is unclear.

Prompt shape for the external tool: return only JSON in this form — {"heading":"…","metric":"…","rows":[{"label":"…","detail":"…","value":"…"}],"next":"…"}. The companion app below uses the same visible result shape locally and makes no AI request.

Try the intake board

Load a sample, replace it with your own notes, and inspect the generated object. Sample values are illustrative, not verified facts.

What breaks first

The draft discloses too much

Delete details that do not help the recipient evaluate the request.

A request sounds like a demand for a guaranteed result

Use “I am requesting” and ask what documentation or process applies.

The barrier is abstract

Name the task, the failure point, and the change that would make it usable.

Boundary. Accessibility boundary: this tool drafts communication and does not decide eligibility, give legal advice, or guarantee an accommodation. Contact the relevant disability-services, HR, school, or public-access coordinator for the governing process.

Go deeper without losing the free path

The free board is complete on purpose. The companion app adds a tangible file, history, or handoff only after the result is useful: a print-ready request packet and local revision history; 5 evidence rows × about 3 minutes of formatting = roughly 15 minutes avoided per request
