Turn Repeated Complaints Into Reply Cards You Can Reuse — Free

Paste a week of complaints and the library groups them with counts, so the reply you write first is the one that covers the most customers rather than the one that arrived last.

What this replaces

Reply libraries get written in the order complaints arrive, which is the order of the loudest customer. This counts them by theme first, so the reply that covers the most people is written before the one that covers the angriest.

Tool note. This runs entirely in your browser — no account, no upload, no paid API key. Google NotebookLM is named as the free source-grounded reading path for the material you paste; its published free-tier terms were checked on 2026-09-13 and can change.

The four passes

01

Collect the smallest useful input

One complaint per line from the period you want to read.

02

Let the library group them

Each theme gets a count and a sample line.

03

Write the busiest theme's reply first

That is the macro with the widest effect.

04

Rerun next month

A theme that does not shrink means the underlying fix has not landed.

Try it on the reply card / complaint 5

The board below runs in your browser. It opens with a worked sample so the result is visible before you paste anything; switch scenarios, edit the text, or reset to the sample.

first-load · sample values are illustrative, not verified facts

Everything you paste stays in this browser tab. Nothing is uploaded, there is no account, and no request leaves the page to generate the result; clearing site data removes anything saved locally.

What breaks, and what to do

Complaints spanning two themes

Both counts rise; that is intentional.

Theme names that do not match your products

Rename them in a copy or the counts are noise.

Complaints by phone with no record

Only what you paste is counted; log them first.

Go deeper — Reply Library

The free board above is the whole loop. The paid tier keeps the arranged output so you do not rebuild it.

  • Printable library with the reply slots beside each theme — estimate: 19 minutes saved per month, basis: 4 themes re-counted at ~4.75 minutes each
  • CSV export of every complaint with its theme — estimate: 24 minutes saved per month, basis: 55 complaints hand-coded at ~26 seconds each
