The workflow
Paste the complaints with the identifying words intact
One per line — 'my order never arrived', 'the refund is wrong', 'your agent was rude'. The sorter keys off those words, so paste the actual phrasing.
Read the lanes before you read the templates
The lane counts show where your time actually goes — if 'late' is half your mail, the fix is probably upstream of any reply. The library is also a diagnosis.
Edit each template once, then reuse it
The drafts are skeletons with your name on them. Put in the real policy for each type — the refund window, the reship process — and the template becomes the answer.
Keep the tone human on the rude lane
The rude lane's template leads with calm and a fact, never with an apology for something you didn't do. The sorter drafts it; your judgment keeps it decent.

What breaks this
Pasting summaries instead of the mail strips the identifying words the sorter keys on — paste the phrasing. Shipping a template that promises a policy you don't have is how a library turns into a liability; fill in the real terms.
