Check a Debt-Collection Letter Claim by Claim — Free, Before You Respond

A collection letter asserts a balance, an original creditor, an assignment and a right to collect. Each assertion has a document behind it, and the letter rarely arrives with all four. Naming which ones are missing is what a written response should do.

Why the flat version breaks

Responding to a collection letter with a general denial invites the same letter again with a different date on it. Working claim by claim, with the specific document each one needs, produces a response the sender has to answer with paperwork rather than with another demand.

How to use the debt-collection validation ticket in four passes

Write down each assertion the letter makes

Balance owed, who owns the debt now, who the original creditor was, how interest and fees were calculated, whether it was previously disputed, and what happens next. One line per assertion, in the letter's own words where possible.

Give every claim the documents that would prove it

Use the numbered key: original creditor statement, assignment or sale notice, payment and interest history, notice of the amount due. A claim with no document number is an assertion, and the ticket will flag it.

Read the flagged claims first

The ticket marks claims with no supporting document. Those are the sentences to quote in a written validation request, because they are the ones the collector has to answer with paperwork.

Send the request in writing and keep the date

Quote the reference number, list the documents you are requesting claim by claim, and send it by a method that records delivery. The dated copy is your evidence that you responded inside the period.

SAMPLE DATA, NOT A VERIFIED CLAIM: the starter record is a collection letter with six claims mapped to a four-document key, two of them unsupported. Replace these values with your own source before you rely on anything.

What breaks first

Phoning to argue about the debt

A phone call produces no record and often ends with a payment arrangement you did not intend to make. Put the request in writing and keep the acknowledgement.

Paying a small amount to make it stop

A partial payment can restart limitation periods in some jurisdictions and is treated as an acknowledgement of the debt. Get the documents first and take advice before paying anything.

Assuming a missing document proves the debt is not owed

It may be owed and simply poorly documented. The point of validation is to establish what is owed, to whom and how it was calculated — not to declare the debt void.

Boundary: This organises the claims and documents in a letter you received; it is not legal advice and it does not decide whether a debt is owed, enforceable or time-barred. Debt collection, limitation periods and validation rights differ by jurisdiction — keep every letter, respond in writing within the period that applies to you, and take advice from a qualified consumer attorney or an accredited debt adviser before paying or disputing.
