Check the Depth Needed for Sleeved Keepsakes — Free

Archival sleeves add depth even when each drawing looks flat. Estimate boxes per collection while keeping separate collections separate, rather than treating all empty space as interchangeable.

The proof surface

Photo digitization estimates scanning work. This plans physical storage depth for sleeved paper keepsakes and explicitly rounds each collection to whole boxes.

Sample, not your facts: Illustrative sample: School drawings | 36 | 1.5; Birthday letters | 24 | 2; Programs | 18 | 5. With usable box depth in millimetres set to 80, total is 4.00 boxes needed.

Why the flat version breaks

Measuring the box exterior

Lids and wall thickness reduce useful depth.

Pooling all collections

The model assumes collections are not mixed between boxes.

Compressing to make the result fit

Storage pressure may damage delicate materials.

How to work the archive spine

Measure a representative stack

Measure several filled sleeves together and divide by their count. Include paper and inserts; an empty sleeve specification usually understates stored thickness.

Measure usable internal depth

Exclude the lid, internal fittings and space you deliberately reserve for handling. Width and height must fit separately; this tool checks only stack depth.

Round each collection up

Thirty-six sleeves at 1.5 mm occupy 54 mm and need one 80 mm box. The 90 mm program collection needs two, even if another collection leaves spare space.

Label without exposing personal records

Use broad collection labels, not children’s full names or document numbers. Confirm fit with a small stack before ordering containers; compression is not part of the model.

FIRST-LOAD

Input is processed locally and a draft is saved automatically in this browser profile when storage is available. Reset to sample clears that draft; Pro history has its own clear button. A state link encodes your inputs in its URL: share only non-sensitive rows. Browser history, clipboard and anyone receiving the link may retain it. Optional AI use below leaves this device; it is not required.

Storage geometry only, not conservation advice. Ask an archivist about fragile or valuable items and appropriate materials.

Data note: Everything runs in this browser tab on the archive spine: your collection | sleeve count | filled sleeve thickness mm stays on this device, nothing is uploaded, and the reading is rebuilt only when you press run.

Go deeper: the companion app files the same reading as a paper ticker strip

The article demo above runs without limits. The companion app keeps a local history, exports the rows as CSV, prints the archive spine reading, and holds your drafts on this device — one free run, then $ 4 one-time for the layer that keeps filing.

The archive spine reading is complete for free. The optional $4 layer adds print, row CSV and the last five local reading summaries; it does not add hidden answers. Checkout is not configured yet; the article demo remains unlimited.

What this is built on

Before: Lids and wall thickness reduce useful depth. After: the archive spine shows the working beside each named row so the reader can change the assumption and inspect the consequence.

Optional AI formatting, not calculation

For this archive spine, use the free AI Studio interface only if available to you, with no paid API key. Manual entry completes the same workflow for free. Supply only fictional or non-sensitive notes. Review its output against the source; never paste unresolved questions into the numeric rows.

Format my non-sensitive notes for a archive spine. Return plain rows only: collection | sleeve count | filled sleeve thickness mm. Preserve supplied quantities exactly. Do not guess missing values; list questions separately. Do not calculate or add advice. I will check every row before pasting into the local tool.

Accepted schema: collection | sleeve count | filled sleeve thickness mm. No AI response is executed as code.
