The workflow

  1. Paste the reviews with their actual wording

    One per line, verbatim. The tray keys off the words — 'dangerous', 'refund', 'never again' — so paste what they actually wrote, not your summary of it.

  2. Read the lanes as a priority order, not a filing system

    Urgent is first because it's the one a future customer will read. Complaint is second, praise last — not because praise doesn't matter, but because it can wait an hour.

  3. Answer the urgent lane with facts and a next step

    The draft for urgent leads with acknowledgment, not defensiveness, and ends with a concrete next step. Your job is to edit in the real facts — the draft is the shape, not the words.

  4. Reply to praise briefly, and mean it

    One line, specific to what they said. A templated 'thanks!' reads as templated; a line that names their words reads as a person.

What breaks this

Pasting star ratings without text gives the tray nothing to key off — paste the words. Replying to the urgent lane with a form letter is the one that makes it worse; the draft is a shape to fill with real facts. Letting the praise lane wait a week turns a warm customer cold for no reason — it's last, not never.
