Why the flat version breaks
A plan written as a list of rooms has no weight in it. Three boxes from the loft and eleven from the garage are the same line on paper and completely different at the van. Running a sorted total against the collection limit makes the overshoot visible before anything is carried downstairs.
How to use the declutter triage index card in four passes
Pick the box size the collection accepts and estimate each category in those boxes. A category written as 'a lot' cannot be sorted, and an estimate written as a range will be read as the lower number.
Use the figure from the booking, in the unit the booking used. If the limit is by volume and the categories are in boxes, convert once and note the conversion on the context line so the numbers stay honest.
The card sorts by size, so the crossing entry is the largest category that pushes the pile over the limit. That is the one to defer to the next collection, and it is usually not the one that looks biggest in the room.
One deferred category per collection, dated, with who is moving it. That turns a single stressful day into two planned ones and keeps the next booking from being made by a person standing in a crowded street.

Estimating in bags because bags are easier to carry
The collection limit is not in bags, so the arithmetic is off before the first item moves. If you genuinely think in bags, count a sample of five boxes in bags and convert once.
Loading sentimental categories first
Photographs and letters take the longest to decide and the least van space. Loading them first means the heavy, easy categories are still in the loft when the driver arrives.
Booking the smallest collection to force yourself to decide
A tight limit makes the day a triage under pressure, which is how things get carried to the tip that a local group or a neighbour would have used. Sort first, then book the size the card produced.
