Why the flat version breaks

The notice tells you what is wrong with the numbers and when they need an answer. It cannot tell you which of your own documents are missing or that the person you spoke to needs to be recorded. That half of the work is yours, and it is the half that decides how the response goes.

Copy the deadline and the reference before anything else

The deadline on the notice governs, not a general rule you remember. Put it in the form first, because every other date is measured against it.

Check the figure against your own records

Notices are sometimes right and occasionally not, and the difference is only visible if you compare the year and the amount with your own return or payslips. Do that before you call, so the call is short and specific.

Record who you spoke to

The name, the date and what was said, on one row. If the case is reviewed later, a note saying "called and was told it would be sorted" is far weaker than a date and a name.

Send it with proof, then chase the confirmation

Use a method with tracking or proof of posting, keep the receipt, and diarise the day the confirmation should appear. A response that was never logged is the most common way a notice escalates.

If a document cannot be found before the deadline, send the response with a note saying what is coming and when. Silence is treated as non-response, an incomplete answer is not.
