Before using the citation-key matrix

Build a stable key list from the actual sources before counting. A key can be a private shorthand such as Rivera2023, but two different works by the same author and year need distinct keys in your working list. This tool does not parse a manuscript, citation manager export or bibliography file. Human counts are explicit so a learner can reproduce why a row is marked. The usual one-entry setting is an entered convention, not an enforcement of a particular style guide. Some assignments legitimately use an uncited reading list; a flagged unused key is then a question to resolve with the assignment instructions. The matrix is useful after drafting because citations and references often drift apart during edits, while a polished formatting pass can make that structural mismatch harder to notice.

How to work the citation-key matrix

Assign one key to one actual work

Use non-sensitive short labels and distinguish same-author same-year works. Duplicate keys across rows are rejected. A key is an identity aid, not a replacement for the complete source information in the document.

Count each side independently

Count in-text uses and bibliography entries separately. Repeated uses of the same source are allowed and do not require repeated bibliography entries. Keep counts as whole numbers; the app will not infer them from pasted prose.

Read the mismatch category

A cited key with fewer than the expected entries has a missing-entry gap; one with more has excess entries. An uncited key with entries is marked as unused. A key absent from both is neutral. The summary counts marked keys, not the sum of every citation occurrence.

Resolve against the assignment

Check the manuscript, source manager and current style or assignment requirements. Ask an instructor or editor if an uncited reading-list entry is intended. Reconciliation says nothing about quotation accuracy, evidence quality or plagiarism.

Smith2024 has three in-text uses and one bibliography entry, matching the entered one-entry convention. Rivera2023 is cited twice but has no entry; Lee2022 has an entry but no counted use; Chen2025 has two entries for one stable key. Three keys need review for different reasons. Three uses of Smith are not three missing entries. The stable keys are invented labels, not real publications or an automatically extracted citation audit.

Adding the missing Rivera entry, finding an actual Lee use and removing the duplicate Chen entry makes every row reconcile under the one-entry setting. These edited counts are an illustration; in a real document, do not add a citation that does not belong merely to clear a flag. Search the text and bibliography against your own stable key list and correct whichever source record was actually miscounted.

A scratch key absent from both places contributes no mismatch, while one cited key with one entry reconciles. The empty scratch row is visible and can be removed from the working list. It does not prove completeness: a citation omitted from the input altogether is invisible to the tool. This edge separates an explicitly checked absent key from an unreviewed part of the document, and keeps a neutral count from being presented as a successful full-document audit.
